About the Role
Responsibilities
Sales Support
Assist the sales team in preparing sales quotations, proposals, contracts, and other documentation.
Provide administrative support for sales campaigns, including scheduling meetings, sending follow-up emails, and tracking client communication.
Respond to customer inquiries and direct them to the appropriate sales representative.
Order Processing
Process sales orders and ensure accurate data entry in the company’s CRM or sales system.
Monitor order status, liaise with the logistics team to track deliveries, and ensure customers are informed of their order progress.
Coordinate with the finance team to ensure invoices are issued promptly and payments are received on time.
Record Keeping and Reporting
Maintain accurate records of sales transactions, client details, and sales-related correspondence.
Generate regular sales reports, dashboards, and performance metrics for the sales team and management.
Assist in preparing sales presentations, documents, and reports for meetings and client interactions.
Client Relationship Management
Support the sales team in maintaining strong relationships with clients by handling basic queries and providing prompt feedback on requests.
Manage the client database to ensure all contact details and information are up to date.
Coordinate after-sales activities, including follow-up on customer satisfaction and resolving any order-related issues.
Cross-Department Coordination
Collaborate with internal teams such as marketing, logistics, and finance to ensure smooth sales operations.
Ensure proper communication and alignment between sales and other departments on order status, delivery schedules, and other customer needs.
Administrative Tasks
Handle general administrative duties such as filing, organizing sales documents, and scheduling team meetings.
Assist in organizing and attending sales events, trade shows, or customer visits, providing support with logistics and coordination.
Working Conditions
Environment: Office-based role with occasional requirements to work extended hours during peak periods.
Physical Demands: Primarily a desk-based role; however, occasional travel to client sites or sales events may be required
Requirements
Qualifications
Education
A high school diploma or equivalent is required. A bachelor’s degree in business administration, sales, or a related field is preferred.
Experience
2-3 years of experience in sales administration, customer service, or a related role.
Skills
Strong organizational and time-management skills.
Excellent written and verbal communication.
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and CRM software (e.g., Accurate).
Basic knowledge of sales processes and systems.
Attributes
